The client is a cloud technology company transforming automotive retail by connecting OEMs, dealers, and consumers through a unified, cloud-based platform. Focused on replacing legacy tools, it enhances sales, service, and customer engagement with data-driven, automated solutions that boost visibility, coordination, and daily operations.

Client challenges

  • Fragmented system landscape: The customer’s disconnected HR, finance, and operations systems resulted in manual processes, delays, and limited visibility into employee and customer data.  
  • Data integrity issues: Manual processes resulted in errors, duplication, and missed updates, leading to financial discrepancies, delayed reimbursements, and inaccurate PTO and payroll records.  
  • Boomi platform performance challenges: Unoptimized JVM settings, unmanaged GC logs, and misconfigured thread pools impacted performance. Limited parallelism, poor monitoring, and inconsistent error handling slowed scalability. 
  • License usage inefficiencies: Unoptimized connector usage, fragmented processes, and bulk scheduling drove up license costs. Lack of shared components, consolidation, and audits affected cost control and scalability. 
  • Logging and error handling gaps: Lack of a robust logging and error-handling framework led to redundant executions, increased connector usage, and SLA violations. Missing alerts and validations led to data duplication and delayed resolution. 
  • Lack of real-time data synchronization: The customer experienced real-time synchronization issues between Workday and enterprise systems, resulting in data inconsistencies, outdated insights, and compliance gaps.  
  • Compliance risks: The customer faced compliance and audit risks due to complex global tax regulations, high data volumes, and weak security and privacy controls.

Solution

LevelShift implemented a secure, scalable, and high-performance integration framework to unify the customer’s core enterprise systems, including Workday, NetSuite, SAP Concur, and TAP.

Workday-NetSuite 

  • Integrated Workday and NetSuite using Kafka and the Boomi platform to enable cohesive and efficient data flow. 
  • Enabled real-time synchronization of Workday General Ledger data with NetSuite journal entries.  
  • Implemented a change detection mechanism using Amazon S3 to ensure timely and accurate record updates. 

Workday-SAP Concur 

  • Implemented a Boomi-based integration, streamlining data transfer from Workday to SAP Concur. 
  • Ensured accurate, error-free data transfer with strong security and automated error recovery.  
  • Secured data through encryption and ensured compliance with data privacy regulations. 
  • Transferred employee identity, expense, and travel data from ERP systems to NetSuite via the Boomi integration platform.  

Workday-TAP (client’s Automation Platform) 

  • Enabled consistent employee data and PTO Data transfer from Workday to TAP via Kafka using the Boomi platform, with Amazon S3 supporting interim storage and change detection. 
  • Ensured precise delta sync without data corruption for high integrity. 
  • Added custom logic for Net Hours Calculation and PTO Status Validation to align with TAP system requirements. 

Salesforce-TAP and Salesforce-NetSuite 

  • Integrated Salesforce and NetSuite to streamline smooth flow of information between front-office (sales, marketing, support) and back-office (finance, inventory, fulfilment) operations, enabling:  
    • End-to-end visibility across customer, order, inventory, and financial data. 
    • Process automation to eliminate manual entry and reduce errors. 
    • Faster order-to-cash from lead capture to fulfilment and invoicing in NetSuite.  
    • Improved customer service with real-time access to financial and order data.  
    • Real-time sales insights including inventory, pricing, and order status within Salesforce.  

Boomi Platform and License Optimization 

To ensure reliable performance and scalability, we implemented the following enhancements for the client: 

  • Tuned JVM memory settings for optimal resource utilization 
  • Monitored Garbage Collection (GC) logs to identify performance issues.  
  • Configured thread pools and queues to improve processing efficiency. 
  • Enabled parallel processing by removing unnecessary flow controls. 
  • Set up a BI analytics dashboard for proactive monitoring and log visibility. 
  • Deployed a framework-based error-handling pattern to ensure process resilience. 
  • Optimized Boomi license usage by reusing connectors, consolidating processes, adopting event-based triggers, and regularly auditing license consumption.
