About the client
The client is a family-owned nursery and landscaping business, founded in 1971 and headquartered in Northern Virginia, USA. One of the region’s largest garden centers, the client offers a wide selection of plants, gardening supplies, home décor, and professional landscaping services. Renowned for its expert horticulturists who hand-select thousands of plant varieties, the client also provides gardening advice, workshops, and online delivery of materials.
Client challenges
- Data inconsistency across systems: Key records, including customer, sales order, payment, goods movement, product, and sales price data, in Salesforce were not automatically synchronized with SAP S/4HANA, leading to misalignment among sales, finance, and operations teams.
- Manual updates causing delays and errors: Without automated integration, the client manually updated data across their systems, increasing the risk of human error and delaying critical business processes such as invoicing and fulfillment.
- Complex data mapping and transformation: Structural differences between Salesforce objects (accounts, products, price books, invoices) and SAP entities (business partners, materials, pricing conditions) required complex logic for data mapping and transformation.
- Limited error visibility and monitoring: Without structured error handling and alerting, failed integrations or data mismatches went unnoticed, compromising data accuracy and delaying resolution.
- Performance challenges with large data volumes: Initial data migration and ongoing synchronization of high-volume transactions required an optimized integration design to ensure consistent performance.
- Scalability and maintenance constraints: As transaction volumes grow, manual or semi-automated data synchronization processes become inefficient and difficult to maintain, limiting scalability.
Solution
To help the client achieve connectivity between Salesforce and SAP S/4HANA, LevelShift implemented a robust, event-driven integration using SAP CPI.
Salesforce Platform Events enabled real-time synchronization whenever records were created or updated, ensuring that only modified data was processed. This approach reduced API load, improved system performance, and ensured scalability for high-volume transactions.
Automated data transformation and mapping: LevelShift designed automated transformations for each business object, enabling Salesforce payloads to align perfectly with SAP S/4HANA structures and vice versa. This included:
- Customer and business partner data (addresses, phones, account details)
- Invoices and payments
- Sales orders
- Goods movements
- Products and pricing
Dynamic filtering by sales organization, distribution channel, company code, and plant ensured that only relevant records were replicated. Transformations eliminated manual data handling, reduced errors, and ensured consistent data across systems.
Centralized error handling and proactive notifications: LevelShift implemented a centralized error-handling framework in SAP CPI. All exceptions are logged with detailed error codes, timestamps, and record IDs, and automated email alerts to notify the client’s team immediately. This allowed the client to resolve issues quickly and maintain operational continuity.
Delta-based processing for optimal performance: We configured the integrations to use delta logic, transmitting only newly created or updated records. This reduced redundant data transfers, optimized API usage, and improved system performance. For master data such as Customers, Products, and Sales Prices, our experts performed initial full loads followed by incremental updates to maintain accuracy.
Comprehensive monitoring and auditability: The client gained complete visibility into every transaction through SAP CPI’s monitoring dashboards. LevelShift ensured that every synchronization event, error, and transaction could be tracked and audited, enabling faster troubleshooting and greater operational transparency.
LevelShift successfully integrated critical business processes including:
- Customer master data replication
- Invoice creation and synchronization
- Customer payment integration
- Sales order creation and updates
- Goods movement management
- Product and pricing replication
By combining LevelShift’s expertise with event-driven triggers, automated transformations, and robust monitoring, the client now has accurate, real-time, and scalable data across Salesforce and SAP S/4HANA.
Benefits
- Accurate, real-time customer and product data: The integration helped the client maintain consistent, up-to-date customer and product records across Salesforce and SAP S/4HANA, providing a single source of truth. This significantly reduced data discrepancies and improved reporting accuracy.
- Enhanced customer experience: Sales and service teams gained instant access to the latest customer information and order statuses, enabling faster responses and personalized interactions. This led to an improved customer experience.
- Operational efficiency and automation: Automated, event-driven processes eliminated repetitive manual updates, reduced errors, and significantly accelerated order-to-cash processing, allowing teams to focus on higher-value activities.
- Proactive error management and monitoring: Integrated error handling and SAP CPI monitoring enabled the client to quickly identify and resolve issues, reducing integration failures and improving overall operational reliability.
- Improved financial accuracy and compliance: Automated invoice and payment synchronization minimized discrepancies, eliminated manual-entry errors, and enhanced audit readiness.
- Scalability and future-readiness: The event-driven, delta-based architecture supported the growth of data volumes and evolving business processes. The client was able to scale operations efficiently and implement future enhancements, such as AI-driven pricing updates, without major system changes.
